Diwali falls on Sunday 8 November this year, so most offices will celebrate on Friday 6 November, Dhanteras. That gives you about three weeks. At most office Diwali parties, the food is the main event, whether the office orders a menu or every team brings a dish. Here's how to plan one your team will remember.
When to hold it
- Friday 6 November (Dhanteras): the most popular choice. The office is full, and people leave for the long weekend on a high.
- Thursday 5 November: better if many colleagues travel home on Friday.
- The week after (10–13 November): works for teams where a lot of people take Diwali week off. Call it a post-Diwali get-together.
A lunch party (12:30–3 pm) gets the most people. Nobody has to stay late, and the food is the star.
Food: ask first, then plan
Whatever you choose, start by asking. A Diwali spread for 80 people has to work for vegetarians, vegans, Jain colleagues, people with nut or dairy allergies, and the one person who doesn't eat sweets. Collect everyone's food preferences with the RSVP, then plan the food around real numbers instead of guesses.
Option 1: The office orders the menu
- Share the numbers with the caterer: how many veg, non-veg and vegan plates, any Jain requests, and which allergies to avoid.
- Keep it festive: a mix of chaat, a couple of mains, breads and rice, and a proper sweets counter.
- Order about 10% extra for walk-ins and second helpings.
- Label every dish on the counter: veg, non-veg, vegan, Jain, and any nuts or dairy.
Option 2: A team potluck
- Split by course. Give each team a category: starters, mains, rice and breads, sweets or drinks.
- Go regional. Ask people to bring a dish from their home state, with a card showing its name and where it's from.
- Plan around the preferences. If a quarter of the team is vegetarian or vegan, make sure a quarter of the dishes are too.
- Let people claim a dish on a shared potluck list, so you don't end up with twelve boxes of kaju katli and no savouries.
- Away that day? Still in. Colleagues who can't make it can still claim a dish and send it in with someone who's coming.
- The office covers the rest: plates, serving spoons, warmers, decorations, drinks and a box of sweets as backup.
Many offices mix the two: the office orders the mains and every team brings a sweet or a snack.
Fast Party handles both. Guest preferences collect veg, non-veg or vegan, allergies and drinks with the RSVP and show the totals on one screen, ready to send to a caterer. Going potluck? Create your event in Fast Party, invite the team, then turn on the Potluck Manager. Set the categories, your guests claim a dish, and you see what's covered and what's missing on one screen. Even guests who RSVP no can still sign up to send a dish.

In the office or at a venue?
- In the office: the usual choice. Book the cafeteria or a big meeting room, and plan 1–2 weeks ahead.
- At a restaurant or banquet hall: for bigger teams who want a night out. Book 3–4 weeks ahead, and lock the headcount and food preferences before you sign the quote.
Thinking of a resort? That's usually the year-end holiday party or an offsite, not Diwali. Keep Diwali simple and in the office.
10 office Diwali party ideas
- Rangoli contest by team. Give each team a square of floor, colours and 45 minutes. Senior leaders judge.
- Diya painting station. Plain clay diyas, paints and brushes. Everyone takes one home.
- Ethnic wear day. Make it a dress code on the invitation, with a prize for best dressed.
- Best dish vote. If you go potluck, everyone votes for their favourite dish. The winning team takes home a trophy (a decorated steel tiffin works).
- Card night or tambola. A Diwali classic, played for fun prizes, not money.
- Diwali quiz. Ten questions on the festival, the office and the team, in teams of five.
- Secret gift exchange. Set a small budget and draw names a week before.
- Photo booth. A marigold backdrop, a few props and good light. Collect every photo in one shared album.
- Lamp lighting. Light diyas together at the start. Keep any puja optional so everyone feels welcome.
- Team awards. Short, funny categories (Most Likely to Reply-All, Best Snack Drawer) to close the day.

Keep it safe and inclusive
- Use electric diyas and LED lights indoors. No crackers in or near the office.
- Keep puja and prayers optional, and say so on the invitation.
- Make sure the food has enough veg, vegan and Jain options, and that every dish is labelled.
- Put non-alcoholic drinks front and centre.
- Families welcome? Say so on the invite. Guests add their kids when they RSVP, so you get the real plate count.
Send an invitation people open

Wording you can copy: "Join us for our office Diwali lunch on Friday 6 November, 12:30 pm, in the cafeteria. Please RSVP by Monday 2 November and tell us your food preferences and any allergies so we can plan the menu. Ethnic wear encouraged, rangoli contest at 2."
How to run your office Diwali on Fast Party
1. Create the event
Pick a Diwali invitation, then add the name, date, time and place.

2. Turn on guest preferences
Everyone answers veg, non-veg or vegan, allergies and drinks with their RSVP, and you see the totals on one screen.

3. Invite the team
Share a link, put the QR code on the office screens, or add people directly. Colleagues RSVP in a tap.

4. Plan the food from the totals
Send the numbers to your caterer, or turn on the Potluck Manager so your guests claim a dish (see the screenshot above). Guests who can't come can still send one in.
5. Watch the RSVPs
See who's coming at a glance, and send one reminder to people who haven't replied.

6. Let guests check themselves in
Turn on Check-In and guests check themselves in when they arrive, so you know exactly how many people are at the party. It's the accurate headcount you need for the final plate count at a restaurant or banquet hall. Guests do it themselves once you, the host, turn it on.

7. Share photos
Everyone adds their photos to one shared album.

8. Open Feedback Corner
Send a 2-minute survey the next day, so next year is even better.

Optional: collect for a team gift
Pooling money for a gift, a farewell or a Diwali surprise for the support staff? Turn on Digital Gifting, and every contribution shows up on one screen.

Frequently asked questions
When is Diwali in 2026?
Diwali (Lakshmi Puja) is on Sunday 8 November 2026. Dhanteras is on Friday 6 November, the day most offices celebrate.
Should the office order the food or run a potluck?
Either works. Ordering is easier for big teams and tight timelines. A potluck costs less and gets everyone involved. Many offices do both: the office orders the mains and teams bring sweets and snacks. In every case, collect food preferences first and plan from the numbers.
How do we find out everyone's food preferences?
Ask with the RSVP: veg, non-veg or vegan, plus any allergies. Fast Party's guest preferences do this for you and add up the totals, so you can send them straight to a caterer or use them to balance a potluck.
How far ahead should we plan an office Diwali party?
One to two weeks for a party in the office. Send the invitation at least a week before, so you have everyone's preferences in time to order or plan the potluck. Allow three to four weeks if you're booking a restaurant or banquet hall.
Can we have crackers at an office Diwali party?
Not indoors. Use electric diyas and LED lights inside, and check your building's rules before planning anything outdoors.
Bottom line
Pick the day (most offices: Friday 6 November), ask everyone's food preferences with the RSVP, then order a menu or run a potluck from the numbers. Label the food and keep it inclusive. Start with a Diwali invitation and let Fast Party handle the RSVPs, preferences and reminders.
